1. Weather Policy

Your safety and comfort are our primary concerns. Glamping is an outdoor experience, and nature can be unpredictable.

  • Inclement Weather: We reserve the right to cancel or reschedule a booking if weather conditions (e.g., winds exceeding 30mph, severe lightning, or flooding) make the setup unsafe.
  • Refunds/Credits: In the event of a weather-related cancellation by Eventide Texas Collective LLC; full credit or a rescheduled date will be offered.

2. Smoking & Fire Policy

To maintain the integrity of our high-end linens and canvas tents, we maintain a strict air-quality environment.

  • No Smoking: Smoking of any kind (including tobacco, cannabis, and vaping) is strictly prohibited inside the tents or within 15 feet of the equipment.
  • Cleaning Fee: Evidence of smoking inside the unit will result in an immediate $350 deep-cleaning fee.
  • Fire Safety: Guest-provided fire pits must be kept at a distance specified during Unattended candles or open flames inside the tent are prohibited.

3. Pet Policy

While we celebrate the great outdoors with our furry friends, our luxury tents are a pet free zone. In order to protect our custom linens and specialty flooring, animals are not permitted inside the glamping units. We are happy to suggest local pet boarding option upon request.

  • Damage: Any damage caused by pets (chewing, scratching, ) will be handled under the Damage Policy below.

Damage & Liability Policy

By booking, the guest accepts responsibility for the condition of the equipment during the rental period.

  • Security Deposit: A refundable security deposit of $350 is required at the time of booking. This deposit is being held to cover potential incidental damage or cleaning Provided the equipment is returned in its original condition, the deposit will be processed for a full refund on the first business day following the scheduled teardown and inspection.
  • Damage Assessment: Apon teardown, our team will inspect all This includes the tent structure, furniture, linens, and décor. This multi-point inspection includes documented itemized inventory with photos.
  • Replacement Costs: Guests will be charged the full replacement value for any items that are broken, stolen, or damaged beyond professional repair (e.g., permanent stains, fabric tears).

5. Our Commitment to Excellence

  • Quality Guarantee: We promise that all equipment will be clean, functional, and aesthetically curated to the high standard promised in our gallery.
  • Communication: If any aspect of your setup does not meet your expectations upon arrival, please notify our team immediately so we can rectify the situation on-site.
  • Continuous Improvement: We value your feedback as it helps us maintain our position as a premier mobile glamping provider.

Booking & Cancellation Policy

To provide premium experience, we reserve your specific dates and equipment well in advance. Our refund policy is designed to be fair to both our guests and our operations.

  1. The Security Deposit
    • Always Refundable: Your security deposit is held solely to cover potential damage or excessive cleaning.
    • Cancellation Exception: Unlike your booking fee, the security deposit is 100% refundable at any time, even if you cancel your event on short notice.
  1. Rental Fees & Cancellations
    To receive a full refund of your rental/booking fees, cancellations must be made according to the following window:
    • 10+ Days’ Notice: Cancellations made at least 10 full days prior to your scheduled setup date will receive a 100% refund of all fees paid (including the security deposit).
    • Less than 10 Days’ Notice: Cancellations made within the 10-day window are non-refundable. However, your security deposit will still be returned to you in full.
  1. Rescheduling
    • If you need to move your dates within the 10-day window, we will do our best to accommodate you based on availability. A rescheduling fee may apply to cover administrative and labor logistics.

How to Cancel or Reschedule

To ensure your request is processed correctly and to lock in your refund eligibility based on the 10-day window, please follow these steps:

  • Written Notice Required: All cancellations or rescheduling requests must be submitted in writing via email to eventidetexas@gmail.com.
  • Timestamp: The "10-day notice" period is calculated based on the timestamp of your sent email.
  • Confirmation: Your cancellation is not considered "finalized" until you receive a written reply to confirmation from our We typically respond to all requests within 24 business hours.
